About the role
We are looking for a proactive and data-oriented Collections Intern to join our Finance team in São Paulo. You will gain hands-on experience in financial operations, accounts receivable, and business communication. You will play a vital role in keeping customer accounts up-to-date and ensuring our cash flow processes run smoothly. This role goes beyond standard support. You will have the unique opportunity to lead a strategic project focused on analyzing and modernizing our collections operations using AI tools. Job Responsibilities:

  • Payment Processing and Application: Working with the Finance team to guarantee that all payments that are not applied automatically are having a ticket raised and followed up till payment is applied. This task is crucial for keeping customer accounts up-to-date and providing a clear picture of outstanding debt.
  • Invoicing and Billing: Interns often assist with generating and sending out invoices to customers.
  • Customer Inquiries/Disputes: They serve as an important point of contact for our team in any inquiries/disputes. An intern might handle a variety of inquiries, such as requests for invoice copies, payment confirmations, or explanations of billing discrepancies.
  • Reconciliation and Data Entry: Working with the Finance team, Interns perform crucial reconciliation tasks. This includes matching bank statements with recorded payments to identify and resolve any discrepancies.
  • Collections Support: While not typically handling complex collections, an intern can assist with the initial stages. This may involve sending out payment reminders, making follow-up calls on overdue invoices, and documenting communication with customers.
  • Filing and Documentation: Interns help with clerical duties such as organizing and maintaining financial records, both physical and digital. This ensures that documentation for invoices, payments, and communications is readily available for audits and internal reviews.

Skills required:

  • Microsoft Excel: Proficiency in Excel is non-negotiable. Interns will use it for data entry, creating spreadsheets to track payments and outstanding balances, and performing reconciliations. Skills like using formulas (e.g., VLOOKUP, SUMIF) and creating pivot tables are particularly valuable.
  • Languages: Spanish and English fluency required, Portuguese fluency a plus
  • AI Knowledge: Familiarity with AI tools (e.g., LLMs, automation agents) and an interest in applying them to business workflows
  • Programming (Plus): Knowledge of Python or SQL is considered a strong plus (especially for the automation project), but not mandatory.
  • Education & Eligibility:
  • Current Student: You must be currently enrolled in a university program with approximately 2 years remaining before graduation.
  • Field of Study: Business Administration, Finance, Economics, Engineering, or Technology-related degrees.

Organizational and Detail-Oriented Skills:

  • Attention to Detail: AR work is all about accuracy. An intern must have a sharp eye for detail to ensure that payments are applied to the correct invoices, that amounts are correct, and that all data is entered without errors. Small mistakes can lead to major headaches down the line.
  • Time Management: The AR team often works on a strict schedule, especially during month-end closing procedures. An intern must be able to manage a high volume of transactions, prioritize tasks, and meet deadlines effectively to keep the cash flow process running smoothly.
  • Organizational Skills: Interns handle a lot of paperwork and digital files, including invoices, payment receipts, and communications with customers. Strong organizational skills are crucial for maintaining accurate records and ensuring that documents can be easily found for audits or reviews.

Communication and Interpersonal Skills:

  • Customer Service: The AR team is often the primary point of contact for customer billing inquiries. An intern needs to be professional, patient, and clear when communicating with customers about payments, disputes, or requests for information. A polite and friendly demeanor can help maintain positive relationships even when discussing a past-due account.
  • Verbal and Written Communication: Clear communication is vital for interacting with both customers and internal team members. An intern must be able to write professional emails to follow up on invoices and speak confidently on the phone to resolve payment discrepancies.
